Position: Office Manager (Operations & Systems)
Location: Columbus, OH
Pay Range: $75,000 – $85,000

Tiello has partnered with a growing industrial refrigeration and mechanical services organization seeking a highly capable Office Manager (Operations & Systems) to lead and optimize internal operations. This company is known for its technical expertise, strong customer relationships, and commitment to delivering high-quality work across commercial and industrial environments.
As the business continues to scale, they are looking for someone who can not only manage day-to-day office functions, but also analyze, improve, and build systems that support long-term operational efficiency.
Position Overview
The Office Manager will serve as the central hub of the organization, overseeing administrative operations, financial tracking, and internal processes. This role requires a technically-minded, systems-oriented individual who can identify inefficiencies, implement improvements, and support both office and field teams.
This is not a maintenance role - this is an opportunity to optimize and build better systems across the organization.
Key Responsibilities
- Oversee all day-to-day office operations, ensuring organization, accuracy, and efficiency
- Manage and track job costing, project financials, and operational reporting
- Utilize QuickBooks and Excel to maintain accurate financial records and reporting
- Support proposal creation, bid documentation, and project-related administrative tasks
- Act as the central communication hub for incoming calls and internal coordination
- Lead onboarding processes and develop standardized documentation and procedures
- Support HR-related administrative functions including reviews, bonuses, and personnel tracking
- Plan and coordinate company events and internal initiatives
- Identify inefficiencies in workflows and implement process improvements
- Evaluate and optimize systems across accounting, operations, and project support functions
Required Qualifications
- Strong proficiency in Excel, including tracking, reporting, and data organization
- Experience with QuickBooks and general accounting principles
- Experience supporting proposals, bids, or project documentation
- Experience with job costing in a project-based environment
- Strong organizational and multitasking abilities
- Excellent communication skills and ability to work across departments
- Proven ability to take initiative and improve processes independently
Preferred Background
- Experience within HVAC, industrial refrigeration, construction, or skilled trades environments
- 10–20+ years of experience in office management, operations, or similar roles
- Experience supporting field teams and project-based businesses
- Systems-minded approach with interest in improving workflows, tools, and processes
Physical & Work Environment Expectations
- Fully on-site role in Columbus, OH
- Ability to sit and work at a computer for extended periods
- Strong collaboration with both office and field personnel
- Professional communication and organizational leadership
