Company Overview
Our client is a family-owned commercial roofing contractor serving building owners, property managers, facility managers, and general contractors across DFW. They specialize in commercial roof repairs, maintenance, replacements, and new construction while operating as trusted advisors to their clients.

Due to continued growth, they are seeking a highly organized Operations Coordinator to act as the operational hub of their service and production departments, ensuring jobs are scheduled efficiently, documentation is accurate, and clients receive exceptional service.
Position Overview
The Operations Coordinator will function as the central point of coordination between clients, field crews, vendors, and leadership.
This individual will manage service scheduling, work orders, job documentation, billing support, and operational processes to ensure the department operates efficiently and supports revenue and profitability goals.
This role is ideal for someone who thrives in a fast-paced construction environment and enjoys keeping multiple moving parts organized while supporting field operations.
Key Responsibilities
• Serve as the primary point of contact for clients, providing responsive communication, scheduling service dispatch, and delivering project updates
• Coordinate daily field operations with the Project & Service Superintendent, including technician scheduling, service board management, equipment rentals, and dumpster coordination
• Support service backlog and revenue growth by issuing proposals and following up on open opportunities to help convert estimates into secured work
• Prepare and submit client invoices with supporting documentation, including uploading to vendor portals and ensuring billing accuracy
• Assist with job costing and profitability tracking by reviewing technician labor hours, receipts, and purchase orders
• Maintain accurate records in the CRM and internal systems, ensuring job documentation, work orders, and project files are properly updated
• Support continuous process improvement initiatives by refining workflows, strengthening operational systems, and enhancing department efficiency
• Collaborate with leadership and internal teams to ensure alignment on job status, priorities, and operational goals
• Provide general administrative support, including maintaining insurance certificates, W-9s, compliance records, and agreements
Qualifications
• 3–5+ years of experience in Operations Coordination, Service Coordination, or Office Administration within commercial roofing, construction, or a related trade
• Experience coordinating service dispatch, scheduling crews, and managing multiple work orders simultaneously
• Strong understanding of construction workflows and service operations
• High attention to detail related to billing, invoicing, documentation, and job costing
• Excellent customer service and client communication skills
• Strong organizational and time management abilities in a fast-paced environment
• Proficiency in Microsoft Office (Outlook, Excel)
• Experience with CRM systems and project management software such as Procore, Centerpoint, or similar platforms
• Self-driven, proactive, and process-oriented with a strong sense of accountability
