Company Overview:
Tiello has partnered with a reputable Structural Steel Fabricator in Palm City, FL, on their search for an Estimating Coordinator to support the estimating team with administrative coordination, bid organization, project documentation, and day-to-day estimating functions.
Role Summary:
The Estimating Coordinator will serve as a key support resource for the estimating department, helping organize bid opportunities, maintain project documentation, coordinate estimating activities, and ensure the estimating team has the information and resources needed to operate efficiently. This role is well-suited for an organized, detail-oriented professional with experience in construction administration, project coordination, or supporting estimating functions within a structural steel fabrication environment.
The ideal candidate will be comfortable managing multiple priorities, communicating with internal teams and vendors, maintaining accurate records, and assisting estimators throughout the bidding process. Experience in structural steel fabrication, construction project administration, or estimating support is preferred.

Job Responsibilities:
Estimating Department Support
- Provide day-to-day administrative and organizational support to the estimating team.
- Assist estimators with coordinating bid opportunities, deadlines, and project requirements.
- Maintain organized bid folders, project files, and estimating documentation.
- Track active bids, upcoming deadlines, and estimating department priorities.
- Help ensure estimators have access to current drawings, specifications, and project information.
- Assist with preparing bid packages, proposals, and supporting documentation.
Bid Coordination & Project Administration
- Coordinate the distribution and organization of bid documents, including drawings, specifications, and addenda.
- Monitor incoming bid invitations and assist with organizing opportunities for estimator review.
- Maintain bid logs and update project status throughout the estimating process.
- Coordinate with general contractors, subcontractors, vendors, and internal departments as needed.
- Assist with gathering pricing, project information, and documentation from vendors and subcontractors.
- Support estimators with bid follow-ups, document requests, and administrative coordination.
Estimating Documentation & Data Management
- Maintain accurate estimating records, project files, and historical bid information.
- Organize and manage digital documents using platforms such as Procore, Bluebeam, and Microsoft Office.
- Assist with updating estimating spreadsheets, pricing information, and project tracking reports.
- Ensure project documents are properly organized and accessible to the estimating team.
- Support the preparation of bid summaries, reports, and other estimating-related materials.
- Assist with maintaining consistent estimating processes and documentation standards.
Cross-Department Coordination
- Collaborate with estimators, project managers, detailing, production, and other internal teams.
- Assist with coordinating project information during the estimating and preconstruction process.
- Help identify missing information, document discrepancies, and outstanding requests.
- Support communication between the estimating team and other departments to help maintain project timelines.
- Assist with project handoff and documentation when bids are awarded.
Qualifications / Requirements:
Required:
- 2+ years of experience in construction administration, project coordination, estimating support, or a related role.
- Strong organizational and administrative skills with the ability to manage multiple priorities.
- Experience coordinating documents, deadlines, and project information.
- Strong attention to detail and accuracy in recordkeeping.
- Proficiency in Microsoft Office Suite, particularly Excel and Outlook.
- Strong written and verbal communication skills.
- Ability to work collaboratively with estimators and internal project teams.
- Eligibility to work in the United States.
Preferred:
- Experience supporting an estimating team within structural steel fabrication, miscellaneous metals, or commercial construction.
- Familiarity with structural steel fabrication and erection processes.
- Experience working with construction drawings, specifications, and bid documents.
- Familiarity with Procore, Bluebeam, Tekla, or other construction software.
- Previous experience as a Project Administrator, Estimating Assistant, Project Coordinator, or Construction Administrator.
- Experience coordinating vendor pricing, subcontractor information, or bid documentation.
- Familiarity with construction project management and ERP systems.
